Executive Assistant

MyDefence is experiencing rapid growth in North America and is seeking an Executive Assistant to the CEO to provide strategic administrative and operational support. This role ensures the CEO can remain focused on high-level organizational priorities by managing critical schedules, coordinating complex projects and facilitating seamless communication with internal and external stakeholders. The ideal candidate is proactive, detail-oriented and adaptable with the ability to anticipate needs, navigate competing priorities and uphold the highest levels of discretion and professionalism in a fast-paced, dynamic environment.
Key Responsibilities
As Executive Assistant to the CEO, your main task will be to provide strategic support by managing schedules, coordinating key projects and ensuring seamless communication.
Your responsibilities include:
- Manage and optimize the CEO’s calendar, including complex scheduling, travel arrangements and prioritization of commitments.
- Serve as the primary liaison between the CEO and internal/external stakeholders, ensuring timely communication and follow-up.
- Prepare and review correspondence, reports, presentations and other critical documents on behalf of the CEO.
- Coordinate board meetings, executive team meetings and other leadership events, including agenda creation, materials preparation and minutes tracking.
- Handle confidential and sensitive information with absolute discretion.
- Anticipate the CEO’s needs, ensuring they are fully briefed and prepared for all meetings and engagements.
- Track strategic initiatives and deadlines, ensuring key projects remain on schedule.
- Partner with department leaders to align priorities and streamline operations across the organization.
- Manage expense reporting, budget tracking, and vendor coordination for the CEO’s office.
- Serve as the Office Manager for the Washington, DC office, ensuring smooth day-to-day operations and managing vendor relationships, office supplies and facility needs.
- Support special projects and organizational initiatives as requested by the CEO.
Qualifications
- Bachelor’s degree required; advanced degree or formal executive assistant certification preferred.
- 7+ years of experience as an Executive Assistant, including at least 3 years supporting a C-level executive (CEO experience strongly preferred).
- Must be a U.S. citizen and eligible to obtain and maintain a security clearance.
- Exceptional organizational and time-management skills with a proven ability to manage multiple complex priorities.
- Excellent communication skills, both written and verbal, with the ability to draft executive-level correspondence.
- High degree of professionalism, integrity and sound judgment.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools (Google Workspace, Zoom, Slack, project management software).
- Demonstrated ability to build strong relationships with internal and external stakeholders at all levels.
- Willingness and ability to travel up to 15% of the time.
- Willingness and ability to work outside of normal business hours on occasion.
About You
You are a strategic thinker who anticipates needs and solves problems proactively. You remain composed and adaptable in high-pressure situations, are trustworthy and committed to maintaining confidentiality at all times and are highly resourceful with a “can-do” attitude and strong sense of initiative.
Ideally, you have experience working with a Special Security Agreement (SSA) and managing requirements related to Foreign Ownership, Control or Influence (FOCI). You also bring experience collaborating with a foreign parent company and navigating cross-border communications, culture, and reporting structures.
